Head of Events
Overview:
- The Head of Events is responsible for overseeing the planning, coordination, and execution of all convention events, from large-scale panels and workshops to smaller social gatherings. This role requires strong organisational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
- In our first year we carved out some signature moments, found our “vibe” as a convention and shone a light on many aspects of our community - and that was all done through events. It is such a crucial role in providing a clear USP to potential attendees and setting a marker for what being at Pawsome is like.
- We already have a fantastic team of event coordinators who will retain the knowledge from year 1 to help make year 2 even better, but as part of improving our attendee experience, we are keen to find a Head of Events who will be the key link between the events team and the rest of the Pawsome teams.
- Specifically we are looking for someone to take charge - and pride - of the planning and logistics of Pawsome events: becoming the crucial point of contact between the event runner and the operations team to ensure that everyone knows how, when, where - and if they need a specific cable to connect their presentation to a TV!!!
Responsibilities:
Event Planning and Coordination:
- Working with the events team to develop a comprehensive event schedule, including panel discussions, workshops, social events and other signature pawsome events.
- Coordinate with event speakers, panellists, and moderators to finalise schedules and topics.
- Manage logistics such as room bookings, equipment needs and communicating this with all other teams to ensure events run smoothly.
Volunteer Management:
- Manage and support a team of volunteers to assist with event setup, event runner communication, equipment lists and other tasks.
- Develop volunteer schedules and ensure they are adequately staffed (in conjunction with Head of Con Ops).
Budget Management:
- Suggest new events and improvements to others and provide a detailed and accurate budget where necessary - and then manage that budget.
Event Execution:
- Oversee the execution of all events, ensuring smooth operations and timely delivery.
- Address any issues or problems that may arise during the event.
- Monitor attendee satisfaction and gather feedback.
Post-Event Evaluation:
- Evaluate the success of each event, identifying strengths and weaknesses.
- Analyse event data to inform future planning and decision-making.
Qualifications:
- Strong organisational and planning skills
- Excellent communication and interpersonal skills
- Experience in event management or production
- Ability to work under pressure and meet deadlines
- Proficiency in using event planning software and tools
Head of Dealers Den & External Sponsors
Overview:
- The Head of Dealer's Den is responsible for overseeing the entire dealer's den operation at the convention - and its successful organisation prior to. This includes vendor recruitment, booth assignments, layout, and overall management of the space. The ideal candidate is a highly organised, detail-oriented individual with strong communication and problem-solving skills.
- Most importantly, we should clarify that this is a management position, as Head of the Dealer’s Den should imply.
- That means we are looking for someone who will not only ensure the successful execution of the dealer’s den by responding promptly to enquiries and any dealer questions/issues and instilling confidence in them that they are in good hands - but also someone who will lead and run the department. That means suggesting ways to improve, being proactive in any issues and chasing other staff members for information, as opposed to being chased yourself! We want someone to feel like they own that role and department and have the freedom to implement as they see fit (so long of course as it falls within Pawsome ethos and expectations).
- With that in mind we would like to prioritise individuals with prior management experience or at the minimum, the drive and confidence to spearhead this team.
Responsibilities:
Vendor Recruitment:
- Develop an organised system of rapid communication with potential vendors so that they a) understand the selection process and b) feel they are being communicated with clearly, professionally and promptly.
- Review vendor applications and select vendors based on product quality, relevance, booth space availability and the vibe and ethos of Pawsome - ensuring a varied spectrum of dealers that represent our community and each offer something unique to our attendees.
Booth Assignments:
- Create a clear layout plan for the dealer's den, considering factors such as booth size, product type, and traffic flow.
- Assign booths to vendors based on their applications, product offerings, and the overall layout plan.
- Communicating these layouts with the rest of the staff and building your own timelines to ensure that the creative team have time to make the layout and clear it ahead of conbook printing.
Vendor Relations:
- Maintain open communication with vendors before and throughout the event.
- Address any concerns or issues that arise promptly and professionally.
- Provide support and guidance to vendors as needed.
Event Day Management:
- Oversee the setup and breakdown of the dealer's den.
- Manage any volunteers in a professional manner and in line with Pawsome staff code of conduct.
- Monitor vendor compliance with event rules and regulations.
- Resolve any issues that may arise during the event.
Post-Event Evaluation:
- Gather feedback from vendors and attendees to identify areas for improvement.
- Analyse sales data and other relevant metrics to assess the success of the dealer's den.
Qualifications:
- Strong organisational and planning skills
- Excellent communication and interpersonal skills
- Experience in event management or retail
- Ability to work under pressure and meet deadlines
- Proficiency in using google sheets and forms.
Rigging Crew
- This involves set up and tear down of events before, during and after pawsome
- To help in setting up and tear down of equipment throughout the convention
- Ensure all equipment is set up safely and functioning properly.
- Ensure equipment is dismantled safely, with proper lifting techniques and safety precautions
Requirements:
- Professionalism when on shift
- Able to lift and move equipment when required
Steward (Con Ops)
- Please note if you are suitably first aid trained, you will be asked if you would like to cover both steward and a Welfare role if needed.
- A steward focuses on ensuring the safety of all guests and staff to ensure that everything runs smoothly, day or night.
Key Responsibilities:
Crowd Management:
- Control the flow of crowds during events, ensuring orderly entry and exit from the venue.
- Monitor crowd behaviour to prevent disturbances, overcrowding, or unsafe situations.
- Ensure all personnel on site have valid con badges (other than hotel staff)
- Ensure all attendees follow venue policies (e.g., no smoking areas, no unauthorised access).
Emergency Procedures:
- Dealing with emergency procedures (e.g fire evacuation) to respond quickly and efficiently during an incident.
- Assist with the evacuation of the venue in case of emergencies.
Directional Support:
- Guide attendees to the correct seating areas, exits, or facilities like Toilets or first aid (con ops)
- Provide information and assistance to attendees who may have questions about the venue or event.
- Address any hazards (e.g., spills, obstacles) to ensure the safety of attendees.
- Sign post anyone experiencing distress, illness, or confusion during the event by informing Con ops for first aid support
Requirements:
- Good radio discipline and clear communication especially in times of high stressful situations
- Good communicational skills, Polite and friendly to all attendees and staff
- Professionalism when on shift
Steward (Con Ops)/Welfare Team Leader
- All the same roles and responsibilities as stewards however as a team leader.
- There will be a day and a night team lead on at all times. You will be responsible for all Stewards/welfare that are on shift at the time. Be able to ensure all staff wellbeing e.g. breaks being taken when needed, if support or relief is needed.
- Liaison between departments if needed, including the hotel. Provide any incident reports if needed and able to record them down as such.
Welfare (First Aid/MHFA)
- Provide first aid and support to all attendees/staff when required, throughout the weekend
- Suitably trained first aiders and/or mental health first aid is required for this role (Other qualifications can be reviewed)
- All actions must be considered reasonable when conducting first aid
Requirements:
- Be able to keep calm in stressful situations and make the correct decision
- Good radio discipline and clear communication especially in times of high stressful situations
- Friendly and polite to all attendees and staff
- Professionalism when on shift
Audio and Visual Crew
- You will be working with our AV crew in order to provide Audio and visuals throughout Pawsome. Such include running the lighting and sound system also working closely with DJ’s in order to ensure a smooth running.
Requirements
- Be able to deal with any issues that may arise during the weekend and find solutions to avoid down time.
- Be able to be a team player to coordinate across the team
- Good communication skills when working with the events team and community events.
